This explains what RS Mechanics Mobile Vehicle Repairs does with your personal information when you book a job, send an enquiry, or use this website. We are the data controller for that information.
What we collect
Only what we need to do the work and get back to you.
- When you book
- Your name, telephone number, email address if you give one, the address the vehicle is at, your vehicle registration and details, and whatever you tell us about the problem.
- When you use the contact form
- Your name, telephone number and email address, and optionally your postcode and registration.
- When you check a postcode
- The postcode itself. We keep the coordinates it resolves to so the same postcode does not need looking up twice. That is not linked to you unless you go on to book.
- Automatically
- Your IP address is recorded with a booking or enquiry, to help us deal with abuse of the forms.
Where vehicle details come from
When you enter a registration, we ask a vehicle data service to look it up. It returns information the DVLA holds about the vehicle — make, colour, fuel type, engine size and similar. That is information about the vehicle, not about you, and we only pass on the registration you typed.
What we do with it
- Arrange and carry out the work you have asked for.
- Contact you about your booking — to confirm it, to say we are running late, or to discuss what we have found.
- Keep a record of what was done to your vehicle, which matters if you come back to us.
- Work out whether your address is inside the area we cover.
We do not sell your information, and we do not use it for marketing unless you have asked us to.
Why we are allowed to
- To carry out a contract with you — arranging and doing the work you booked.
- Our legitimate interests — keeping records of work done, and protecting the forms on this site from abuse.
- Legal obligation — keeping records we are required to keep for tax purposes.
Who else sees it
Only where it is necessary to run the business:
- Our web hosting provider, which stores the website and its database.
- Our email provider, which delivers booking confirmations.
- The vehicle lookup service, which only ever receives a registration number.
- Cloudflare, which checks that form submissions come from a person rather than a bot.
- Our accountant, and HMRC, where required.
How long we keep it
Booking and job records are kept for six years, which is what we are required to keep for tax purposes and what lets us look back at work done on your vehicle. Enquiries that do not turn into work are kept for two years. Postcode lookups hold no personal information and are kept indefinitely.
Your rights
You can ask us to:
- Tell you what information we hold about you, and give you a copy.
- Correct anything that is wrong.
- Delete information, where we are not required to keep it.
- Stop using it in a particular way, or object to how we are using it.

If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
